POLICY:\n\n   A. To outline to the Wardens/Superintendents and Food\n      Service Directors standard procedures for the replacement\n      and/or acquisition of Food Service equipment essential\n      for the efficient and economical operation of each\n      feeding unit in GDC.\n\n   B. To provide methods for documentation of maintenance and\n      repairs of all equipment in the Food Service department\n      of each facility in GDC.\n\n   C. To extend the useful life of equipment through\n      preventative maintenance.\n\n   D. Once the local Facility Food Service repairs and\n      maintenance funds (615) have been depleted, prior\n      approval from Central Office must be obtained prior to\n      ordering parts or repair work.\n\n   E. Any transfer of food service equipment will be approved\n      by the Regional Food Service Maintenance Advisors, State\n      Food Service Administrator, or the Food and Farm Services\n      Manager and accompanied by the appropriate paperwork.\n      Transfers to the Central Food Service Equipment Warehouse\n      in Milledgeville must be accompanied by completed\n      paperwork initiated by the facility. NO transfers of\n      equipment will be made without completed paperwork.\n\n   F. All budgetary requests for Food Service equipment\n         will be prepared in January of each year. When the Annual Operating Budget (AOB) is\n         received from the budget office, equipment\n         needs will be prioritized based on the\n         facility's request.\n\n      b. Facility\u2019s prioritized list will be further\n         prioritized based on statewide Food Service\n         equipment needs.\n\n  2. The equipment schedule must include the following.\n\n      a. Complete name, make, and model of equipment\n         item.\n\n      b. Size and electrical and/or fuel data.\n\n      c. Estimated cost.\n\n      d. Justification for needs of equipment and\n         purpose.\n\nB. Receipt and Installation Procedures\n\n   1. Upon receipt of new equipment, you must contact your\n      Maintenance Advisor to insure installations are done\n      in accordance with the factory's installation\n      procedures (for warranty purposes).\n\n   2. Upon receipt of any equipment items, a receiving\n      report will be completed and forwarded to Food and\n      Farm Services, Central Office.\n\n   2. Upon receipt and installation of equipment in the\n      feeding unit, a maintenance record will be prepared\n      for the new and/or used replacement equipment. The\n      local Food Service Director will keep on file, in\n      the Food Service Office, maintenance records for\n      each item of equipment in the feeding unit (See\n      Attachment #1). The maintenance record will contain\n      the following information.\n\n      a. Name of the item of equipment.\n\n      b. Information concerning repairs - date reported\n         to maintenance department, date repaired,\n         action taken, parts used and related costs for\n         repairs.\n\n   3. This information can be used to justify replacement\n      and/or acquisition of essential equipment and\n      promote efficiency in the operations of each feeding\n      unit.\n\nC. Preventative Maintenance\n\n   1. The Regional Food Service Maintenance Advisor will\n      conduct a quarterly inspection on all GDC Food\n      Service Equipment and give instructions on equipment\n      operating procedures to maintain equipment in good\n      working order.\n\n   2. The Regional Food Service Maintenance Advisor will\n      also provide a list of deficiencies and suggestions\n      on the quarterly Food Service Equipment Assessment\n      (See Attachment #2) for preventative care on food\n      service equipment and leave copies of the assessment\n      with the Food Service Director, Business\n      Manager/Deputy Warden of Administration, and Warden\n      of the facility.\n\n   3. Below is a list of guidelines that is recommended\n      for preventative maintenance care and will be used\n      as a check list by the food service maintenance\n      advisor when conducting inspections of equipment for\n      repair or replacement.\n\n   4.
