This policy is applicable to all Georgia Department\nof Corrections (GDC) State Prisons and Centers which operates kitchens for\npreparation of the GDC Master Menu. Exceptions may be made for contracted food\nservice operations.\n\n**II.** **Authority:**\nNone\n\n**III.** **Definitions:**\nA. **Food Service Management System** **-** Computerized inventory system used by\n\nFood and Farm to order, produce, and ship all food and supply items.\n\nB. **Physical Inventory** **-** Actual count of all food and supply items and adjustments\n\nmade to the Food Service Computer System, if necessary.\n\nC. **Food Service Director** **-** The highest ranking food service employee at each\n\nfacility.\n\n**IV.** **Statement of Policy and Applicable Procedures:**\nA. In the event the highest ranking Food Service employee is to be terminated or\n\nresigns the following procedures should be followed:\n1. The Food and Farm Services Central Office shall be notified;\n\n2. A physical inventory will be conducted and verified by the Regional Food\nService Advisor;\n\n3. The physical inventory shall be compared to the recorded inventory\ndisplayed in the Food Service Computer Inventory System;\n\n4. Once discrepancies have been resolved, a copy of all documentation used to\nverify the physical inventory shall be forwarded for review to the Food\nService Advisor of the facility; and\n\n6. All discrepancies will be resolved before the director is released from all\nliabilities to the department.\n\nB. Arrangements are to be made to immediately rehire for the vacant position or to\n\ntemporarily fill with an emergency appointment.\n1. When making emergency appointments for the duties of the Food Service\nDirector, those who have had experience with the Food Service Computer\nSystem and inventory should be considered.\n\n2. Once a permanent hire has been assigned to fill the position, the appointee\nmust receive training with the Food Service Computer System unless he or\nshe is previously experienced with the system. Prior to the appointee\nassuming responsibilities in the food service operation, the appointee and\nbusiness manager must conduct a physical count of inventory and verify\ninventory with the Food Service Computer System.\n\n**V.** **Attachments:**\nNone\n\n\n**VI.** **Record Retention of Forms Relevant to this Policy:**\nNone",
